VetSpeak ASAP Terms of Use

1. Clinician documentation only

VetSpeak ASAP records or accepts consultation audio, produces transcripts, helps clinicians review patient boundaries, and creates draft clinical documents for clinician review.

VetSpeak ASAP does not diagnose, prescribe, select treatment, recommend referral, or replace professional judgement. Generated text may be incomplete or wrong. A veterinarian must review, correct, and approve every transcript and document before it is relied on, entered into a clinical record, or shared.

2. Recording consent and authority

You must obtain explicit, informed consent from every person whose consultation is recorded and must comply with the professional, employment, privacy, and recording laws that apply to your practice. Do not start or continue recording when consent has not been obtained or has been withdrawn.

You may upload patient, client, and consultation information only when your clinic has lawful authority to process it through the service and its providers.

3. Accounts and acceptable use

Keep your account credentials secure, use only your own approved account, and notify us if you suspect unauthorized access. You must not use the service unlawfully, interfere with its operation, bypass access controls, probe another user's data, or upload content you are not authorized to process.

4. Data processing

The service may use hosting, authentication, storage, transcription, AI, billing, and communications providers to perform requested functions. Your clinic is responsible for deciding whether that processing is appropriate for its patients and clients.

Our current data practices and known product limitations are described in the Privacy Notice.

5. Retention, deletion, and export

VetSpeak ASAP does not currently promise a fixed automatic deletion schedule, complete self-service deletion from every provider, or a complete self-service export of all related clinical data. Contact the Privacy Officer before relying on a particular retention, deletion, or export outcome.

6. Availability and changes

The service may be changed, suspended, or unavailable. Preserve any clinical information your practice is independently required to retain, and do not rely on VetSpeak ASAP as the sole clinical record system or emergency communication channel.

We may update these terms. A new effective date will be shown on this page when we do.

7. New Zealand law

These terms are governed by New Zealand law. Nothing in these terms excludes rights or obligations that cannot lawfully be excluded. Clinics operating elsewhere are responsible for the laws that apply in their jurisdiction.
